Publish and assign a handbook

Freeze a version, then give it to individual staff or a whole position — with a due date if it matters.

Publishing takes a snapshot of the handbook as it is right now and freezes it. That snapshot is what your staff work through, so editing the handbook next week never disturbs anyone in the middle of it.

Publish

In the builder, choose Publish. TetBee confirms which version you’re about to create and reminds you that people already on an earlier version keep working on that one.

Only published handbooks can be assigned. Drafts and archived handbooks can’t.

Assign it

From the Handbooks list, open the row menu on a published handbook and choose Assign.

  • Staff — search and pick people individually.
  • By position — everyone holding that position is assigned at once.
  • Due date — optional. With one set, your staff see the date and get reminded as it approaches.

Staff without a linked TetBee account can’t be assigned and show up as Excluded. Invite them from Team first — see Add your staff.

When you publish a new version

Each assignment follows one of two policies, which you pick as you assign:

  • Pin to this version (the default) — they finish the version they were given, whatever you publish later.
  • Follow latest — when you publish a newer version, TetBee asks you to approve moving those people to it. It never happens on its own, so nobody gets pushed backwards without you knowing.

Other ways to assign

  • When you approve a new hire — the approval screen has an Assign handbooks step, so onboarding starts the day they join.
  • From a staff member’s profile — open them in Team and use the Handbook tab to assign one and see how far along they are.
