A position is a role you schedule by — Server, Kitchen, Bar, Front desk. The schedule table groups people by position, so getting these right early saves rework.
Add a position
- Open your workplace settings on the web.
- Choose Add Position.
- Name the position, switch on any permissions it needs, and save it.
- Repeat for each role you schedule separately.
TetBee asks you to add at least one more position besides Owner before you can finish setup. Owner alone isn’t enough to build a schedule.
Position permissions
When you add or edit a position, you can switch on extra permissions for it. Permissions belong to the position — everyone in that position gets them. This is how you give a shift lead a bit more responsibility without making them an Admin. Owners and Admins can do all of this already, so these switches are for your other positions.
- Can access place information — edit the workplace’s own details, like its name and info.
- Can access daily schedule review — see the daily review on the home screen and confirm shifts as people finish them. Only matters if your workplace uses shift sign-out, and it comes included with Can make schedule.
- Can post announcements — write announcements and choose which positions receive them.
- Can access all announcements — read announcements sent to any position, not just their own. Announcements meant only for Admins stay hidden.
- Can access all positions’ chat rooms — join every position’s chat room except the Admin room. Without this, people are only in their own position’s rooms.
- Can make schedule — the big one. The schedule tab switches to the manager view: build, edit and publish schedules, see everyone’s availability, and approve time off, shift trades and availability changes.
- Can access other staff’s contacts — see teammates’ phone numbers on their profiles and call them from chats.
- Can update other staff’s position and nickname — change teammates’ positions and display names.
- Can upload workplace files — add documents to the workplace’s shared files.
- Can access all workplace files — see documents shared with any position, not just their own. Files meant only for Admins stay hidden.
Can make schedule effectively makes someone a scheduler for the whole workplace — they’ll see everyone’s availability and approve requests. Give it deliberately.
How many should you create
Create a position for every group you’d schedule as a block. If two roles always work the same shifts and you never think of them separately, one position is enough.
You can add and rename positions later, so don’t over-plan this. Next: Add your staff.
